The Executive Assistant will provide support to the Vice President & General Manager, U.S. Surgical.  This will be a hybrid office-based role out of Bridgewater, NJ.  The Executive Assistant’s responsibilities will require flexibility, a positive attitude and receptiveness to changing responsibilities, multiple demands and an ability to make effective decisions. The Executive Assistant must always act with a positive and professional demeanor.  A “teamwork” orientation is essential to provide effective administrative support as well as provide backup support as needed for other executives.


Responsibilities


•    Maintain schedule/calendar of key departmental engagements, industry programs, meetings and events and major meetings.
•    For the U.S. Surgical Executive staff, manage all expense activities including CAF’s, expense approvals, MSAs and purchase orders on a daily basis, and ensure that all requisitions are addressed and vetted in accordance with the company policies / authority matrix.
•    Manage travel arrangements, expense reports, review expense approvals etc.
•    Coordinate all monthly metrics meetings, follow up actions, etc.
•    Coordinate all visitors and meeting schedules to ensure details are managed accordingly that includes visitor passes, meals and hotel contract processes. 
•    Greet clients and vendors in a professional manner.
•    Manage executives key event calendars around major meetings and conferences such as AAO, ASCRS, ASRS, Hawaiian Eye, Kiawah Eye, ESCRS, AECOS, etc.
•    Prepare PowerPoint slide presentations as requested.
•    Manage all legal documents and signatures and maintain adequate files per company guidelines and SPOs.
•    Maintain an organized filing system, triage all telephone inquiries.
•    Participate in “special projects” as requested.
•    Handle multiple requests on a daily basis and take initiative to problem solve issues and challenges daily.
•    Distribution of key communications from the VP/GM to internal staff and customers, proofread and provide feedback as needed.


Qualifications


•    College degree preferred
•    Minimum of 3 years of experience supporting a senior-level executive
•    Superior attention to detail
•    Ability to handle highly sensitive information with complete confidentiality
•    Ability to maintain consistent and high levels of performance
•    Ability to partner with and advise supervisor and team
•    Ability to work in a time-sensitive, fast-paced environment
•    Demonstrate ownership and execution of primary responsibilities, anticipate needs and solve issues quickly/effectively
•    Strong ability to multi-task projects across groups
•    Strong verbal and written communication skills
•    Ability to manage expectations and meet deadlines, work beyond normal work hours as needed
•    Ability to think beyond the task to the overall project objectives and improve processes
•    Willingness to remain in contact after-hours/weekends as necessary
•    Ability to engage with internal/external stakeholders to coordinate meetings/travel
•    Experience working on highly confidential projects with appropriate discretion and sensitivity
•    Ownership mindset for projects and ability to follow-up and see projects through to completion
•    Maintain a consistent work schedule regarding work times and provide timely notice when a change in the work schedule is required
•    Strong working knowledge of Word, Excel, PowerPoint, ERP systems, Outlook, and Visio
•    Exhibit initiative and “follow-through” to help leadership and the team achieve priorities and results 
•    Communicate on a timely basis the status of tasks, especially if the timely completion of tasks is falling behind
•    Maintain and be able to access key contracts for the group

For U.S. locations that require disclosure of compensation, the starting pay for this role is between $100,000.00 and  $120,000.00.  The estimated salary range reflects an anticipated range for this position. The actual base salary offered may depend on a variety of factors.

 

U.S. based employees may be eligible for short-term and/or long-term incentives. They may also be eligible to participate in medical, dental, vision insurance, disability and life insurance,  a 401(k) plan and company match, a tuition reimbursement program (select degrees), company holidays, and well-being benefits, among others.
