Position summary:

The Executive Assistant will provide support to the General Counsel and President of the Ophthalmic Pharmaceutical business, as well as to the Deputy General Counsel and the Senior Vice President, Assistant General Counsel, Intellectual Property.  The Executive Assistant’s responsibilities will require flexibility, a positive attitude and receptiveness to changing responsibilities, multiple demands, and an ability to make effective decisions. The incumbent should bring a positive and professional demeanor as well as a “teamwork” orientation to all aspects of their work.

 

Key responsibilities:

  • Manage schedule/calendar of key activities including anticipating conflicts and prioritizing conflicting demands for a highly-scheduled executive with global responsibility.
  • Manage travel arrangements and create detailed itineraries, prepare and facilitate approvals for expense reports, etc.
  • Take and distribute well-organized minutes as required on a timely basis for Team Staff meetings including writing minutes and, creating/managing follow-ups and deadlines.
  • Review email and print requests for approvals (e.g., contracts, expense approvals, etc.) regularly, and ensure that all are addressed and vetted timely in accordance with company policies / authority matrix.
  • Assist Corporate Secretary with scheduling and logistics of monthly CLE (Continuing Legal Education) sessions including recording session and distributing to attendees.
  • Update organization charts as needed, coordinating with leaders; assist in preparing announcements and onboarding for department new hires.  
  • Assist General Counsel and Deputy General Counsel in preparations for board meetings and earnings calls by ensuring presentations are timely and all other materials are prepared.  Assist in scheduling board committee meetings, as needed.
  • Draft, log, review, finalize and stamp confidentiality agreements as needed for quick turnaround.  Log in tracker.
  • Communicate on a regular basis the status of tasks, including any issues with meeting previously agreed to completion dates.
  • Prepare PowerPoint slide presentations as requested.
  • Maintain an organized filing system.
  • Triage all telephone inquiries and appropriately represent the Office of the General Counsel to all internal and external parties.
  • Coordinate internal and external meetings, including quarterly townhalls.
  • Participate in special projects as requested.
  • Act as Diligent back up for Corporate Secretary.

 

 Qualifications/experience:

  • High school diploma required; college degree preferred
  • Minimum of 5 years of experience supporting a c-suite executive
  • Superior attention to detail with an ability to maintain consistent and high levels of performance
  • Proven ability to handle highly sensitive information with complete confidentiality
  • Strong ability to work in a time-sensitive, fast-paced environment which requires multi-tasking across multiple groups and leaders
  • Track record of demonstrating ownership and execution of primary responsibilities, anticipating needs, and resolving issues quickly/effectively
  • Excellent verbal and written communication skills; respectful and approachable demeanor
  • Ability to manage expectations and meet deadlines, work beyond core hours as needed, with a willingness to remain in contact after-hours/weekends as necessary
  • Proven experience engaging with internal/external stakeholders to coordinate meetings/travel
  • Demonstrated experience working on highly confidential projects with appropriate discretion and sensitivity
  • Strong working knowledge of Word, Excel, PowerPoint, Outlook, and Visio
