B+L is seeking an Executive Assistant (EA) to support the US Vision Care VP/GM in delivering high-level administrative and operational support within a fast-paced commercial environment. This role requires strong judgment, discretion, and the ability to proactively manage competing priorities with professionalism and confidence. The EA will serve as a trusted partner to the VP/GM, helping to enable leadership effectiveness and ensure seamless coordination across internal and external stakeholders.
The ideal candidate will bring a flexible, solutions-oriented mindset, a strong sense of teamwork, and the ability to provide back-up administrative support to other leaders as needed.
Key Responsibilities
Executive & Business Support
- Provide daily executive administrative support to the US Vision Care VP/GM, including managing priorities, deadlines, and follow-ups.
- Anticipate needs, identify potential issues early, and resolve challenges independently while keeping the VP/GM informed.
- Draft, proofread, and distribute key communications on behalf of the VP/GM; ensure accuracy, tone, and professionalism.
Calendar, Meeting & Event Management
- Own complex calendar management, including scheduling internal/external meetings across time zones and coordinating logistics and agendas.
- Maintain the department calendar of key business engagements, industry programs, leadership meetings, and major events.
- Coordinate recurring operating rhythms (e.g., monthly metrics meetings), track action items, and follow up to closure.
- Support major meetings and conferences (e.g., AAO and other industry events) by coordinating schedules, prep materials, and logistics.
Travel & Expense Administration
- Manage end-to-end travel planning (flights, hotels, ground transportation) and prepare detailed itineraries.
- Process and reconcile expense reports; support expense approvals and related documentation in alignment with company policies.
- Coordinate administrative purchasing needs as applicable (e.g., requisitions, purchase orders, contracts), ensuring compliance with company authority matrix and SOPs.
Visitor & Onsite Coordination
- Coordinate visitors, meetings, and onsite logistics, including visitor access, meals, meeting space, and hotel arrangements as needed.
- Greet clients, customers, and vendors in a professional and welcoming manner and ensure a positive on-site experience.
Documents, Compliance & Administration
- Manage business documentation requiring signatures and approvals; maintain organized electronic files in accordance with company guidelines and SOPs.
- Maintain a structured filing system and effectively triage phone calls, inquiries, and requests.
- Support preparation of materials such as PowerPoint presentations and meeting documents as requested.
Projects & Continuous Improvement
- Support special projects and cross-functional initiatives as needed, including tracking milestones and driving timely completion.
- Identify opportunities to streamline administrative processes and improve how the leadership team operates.
Qualifications
- High school diploma required; Bachelor’s degree preferred.
- Minimum of 3 years of experience supporting a senior-level executive (VP-level or equivalent preferred).
- Experience supporting leaders in a commercial, matrixed organization (healthcare, consumer, pharma/med device a plus).
- Experience coordinating large meetings/events and supporting conference planning.
- Experience supporting contracts, purchase orders, and related administrative workflows.
- Exceptional attention to detail, organization, and follow-through.
- Demonstrated ability to handle highly confidential and sensitive information with discretion.
- Strong written and verbal communication skills with a professional executive presence.
- Proven ability to manage competing priorities in a time-sensitive, fast-paced environment.
- Strong proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint); comfort learning internal systems (e.g., ERP and collaboration tools).

- This role is eligible for our hybrid work schedule, allowing for up to 2 days/week of telecommuting from home and 3 days/week in our Bridgewater, NJ corporate office.

For U.S. locations that require disclosure of compensation, the starting pay for this role is between $90,000.00 and $105,000.00. The estimated salary range reflects an anticipated range for this position. The actual base salary offered may depend on a variety of factors.
U.S. based employees may be eligible for short-term and/or long-term incentives. They may also be eligible to participate in medical, dental, vision insurance, disability and life insurance, a 401(k) plan and company match, a tuition reimbursement program (select degrees), company holidays, and well-being benefits, among others. U.S. based employees are also eligible to receive sick time, floating holidays and paid vacation.
